Who RentCaddie is for
Three residents of a shared house having coffee together at the kitchen table in the morning sun

Sober living house management softwareRent by the bed. Weekly or monthly.

A recovery residence is rent-by-the-bed housing with more coming and going than any other kind. Four houses, thirty beds, rent due every Friday, and a house manager in each one. RentCaddie keeps every bed, every payment and every signed rule on its own record.

One record per bed, with its own rent

In RentCaddie the thing you rent is the record. Name each bed the way your houses do (Bedroom 2, bed A) and it carries its own rent, its own resident, its own agreement, its own dates and its own balance. Two residents sharing a room are two records, not one with a note on it.

Rent can be due weekly, every two weeks, or monthly, and the charge is made on the day the agreement says. Nobody keys in thirty charges on a Friday morning: they are already on each resident's ledger before the house wakes up.

  • A separate rent and a separate agreement per bed
  • Weekly, every-two-weeks or monthly rent, charged on its own day
  • Each resident's balance on their own ledger, seen only by them and you
  • A move-in date and a last day per bed, not per house

Paid from their phone, with late fees that follow the rules they signed

Residents pay by card or bank from their phone through your own connected Stripe account, and the payment lands on their ledger when it clears, with a receipt sent to them. Cash and money orders taken at the house are recorded on the same ledger by the house manager, so there is one balance per resident and it is always current.

A late fee is applied from the rule written into that resident's agreement: the grace days, the flat amount or the per-day amount, and the cap. It goes on the ledger by itself on the morning it is earned. The rent list shows who has paid and who is late across every house, so a Friday check is a glance rather than a call to each house manager.

  • Card and bank payments from a phone, on your own Stripe account
  • Cash and money orders recorded on the same ledger
  • Late fees from the signed rule, applied on their own
  • One rent list across every house: paid, late, and how much

House rules signed before move-in, and a deposit on the record

A house runs on its rules, so the rules are part of the agreement. RentCaddie carries a house rules addendum as a real template: quiet hours, chores and what clean means, overnight guests, trash, what happens after a violation, plus whatever your program adds. Every resident signs it on their phone before move-in, and the signed copy stays on their record with the date and time.

A security deposit is held per resident and returned on that resident's own dates, with the deadline you set counting from their actual last day. Residents sign overnight guests in from their own page, and a stay that runs past the limit in their agreement waits for you. When a rule is broken, the violation is recorded on that resident's record; the letter is drafted and the fee is offered with the amount filled in, and you choose whether either one runs on its own.

  • House rules as a signed addendum on every agreement
  • Signed on a phone, with the date and time kept
  • A deposit per resident with its own return deadline
  • Violations recorded on the resident's record, with the letter drafted for you

Residents come and go. The bed is ready for the next one.

Turnover is a normal week in a recovery residence, so a move-out is one short flow: the actual last day, what is still owed, the deposit decision, and the bed's next-available date. Where you have smart locks, the resident's door code stops on their last day rather than at the end of the month, and the bed shows as open on your own listing page from the day after the cleaning buffer you set.

Applicants apply from their phone through your link, and a new resident signs the agreement and the house rules the same way. Nothing about the other beds in the house changes when one person leaves or arrives.

  • Move-out in one flow: last day, balance, deposit, next-available date
  • Where you have smart locks, a resident's code stops on their last day
  • Open beds shown on your own listing page with the real date
  • Applications and signing from a phone

Every house and every house manager in one place

Each house manager gets their own login. Owner, administrator, manager, cleaner, inspector and accountant are the built-in roles, and any person's permissions can be changed one by one, so a house manager can record a cash payment and a violation without being able to change what a resident is charged.

Repairs are reported from the resident's page with a photo, sent to a vendor as a link they accept on their phone, and costed to that house. Inspections walk the same room order every time with photos. A message to one resident, or to everyone in one house, is kept with their records instead of in six phones.

  • A login for each house manager, with permissions set per person
  • Repairs with photos, sent to the vendor as a link
  • Inspections with photos, room by room
  • Messages to one resident or to a whole house, kept on the record

What RentCaddie does not do

Recovery housing has parts that are yours, not the software's. Here they are, plainly.

  • It does not run your program. Program records, treatment notes and anything about a resident's health belong in the private file you keep for them. RentCaddie holds the housing side only: beds, agreements, money, rules, repairs and access.
  • It does not certify your house. Recovery residence certification, state registration and local occupancy rules are between you and those bodies.
  • It does not run background screening itself. It collects applications and documents in one place; you choose a screening provider and own the criteria, the decision and any notices. Fair housing rules apply in full.
  • Money moves in, not out. Deposit returns are tracked with their deadline and itemization; you send the money.
  • A house manager's login is a login to the workspace, not to one house. Permissions are set per person, not per address, so decide what each person may do rather than which house they may see.
  • Plans count active agreements, so a house with eight beds counts as eight. Check the pricing page before you commit.

RentCaddie is operating software, not legal advice. Occupancy limits, licensing, fair housing accommodations and deposit rules vary by state and city; have local counsel review your agreement and your rules.

Common questions

Can rent be charged weekly?
Yes. Each agreement sets its own rent and how often it is due: weekly, every two weeks, or monthly. The charge is made on the day the agreement says, and the late fee rule on that agreement runs against it.
Can two residents share a bedroom with separate agreements?
Yes. Name each bed as its own record, and each one carries its own rent, resident, agreement, dates and balance. One resident leaving does not touch the other.
How do residents pay?
By card or bank from their phone, through your own connected Stripe account, with a receipt sent to them. Cash and money orders taken at the house are recorded on the same ledger by a house manager, so the balance is right either way.
Do the house rules get signed?
Yes. The house rules are an addendum on the agreement, signed electronically before move-in with the date and time recorded, and the signed copy stays on the resident's record.
Can each house manager have their own login?
Yes. Every house manager gets a login with a role and permissions set per person. A login reaches the whole workspace rather than one house, so set what each person may do rather than expecting them to see only their own address.
Does RentCaddie keep program records?
No. It holds the housing side: beds, agreements, money, rules, repairs and access. Anything about a resident's health or program belongs in the private file you keep for them.
