Switching from TurboTenant when you rent by the room

Getting your records out is the easy part. What matters is the order: nobody pays rent in two places, nobody signs again, and every bedroom keeps its own lease.

    Pick a quiet week

    Switch after this month's rent is in and before next month's is due. Then no resident is ever asked to pay in two places.

    • Rent due on the 1st? Aim for the second or third week.
    • Rent due weekly? Switch the day after a rent day.
    • Say nothing to residents yet. The note goes out in step 6.

    Take four things out, on the same day

    TurboTenant has no single export. Three files and one copied page hold everything, and taking them on one day means they agree with each other.

    • Rent roll, Charges and Expenses download as files.
    • The Tenants page is copied and pasted. It holds the emails.
    • Keep the files exactly as they download. Do not tidy them.

      Open it before you go on. Every occupied bedroom should be a row.

    Bring them in and read the review

    You see every house, every bedroom, who lives in it and what they owe before anything is saved. This is where a room rental is set up right or wrong.

    • For each house, choose "By the bedroom". Each room gets its own lease.
    • Check each resident sits in the right bedroom before you save.
    • Bills marked paid in TurboTenant arrive paid. Nothing is billed twice.

    Check three numbers against TurboTenant

    If these three agree, the move is right. If one does not, you find out today instead of on the 1st.

    • Residents: count the rows on the rent roll you downloaded.
    • Rent each month: add up its rent column.
    • Still owed: add up its unpaid balances.
    • One is off? It is nearly always a filter on the Charges export. Export again with every filter on All.

    Add what the export does not say

    A file cannot carry a signature, and it does not say what your lease says about late rent. RentCaddie asks you; it never guesses.

    • Upload each signed lease to its resident. Nobody signs again.
    • For each lease, answer the day rent is due, the late fee, and who pays utilities.
    • Set up how you get paid, before you invite anyone.

    Tell residents once, with one date

    One short note, one date, the same for the whole house. Housemates talk; a different story per room is how rent gets paid to the wrong place.

    • Invite every resident on the same day and send the note below.
    • Stop next month's charges in TurboTenant, so nobody is billed there too.
    • Keep your TurboTenant login. Old messages and applications stay there.
    Hi Maya. From the 1st, rent for 1420 Elm St is paid through your new resident page. Your invitation is in your email.

    Hi [name]. Starting [date], rent for [house] is paid through a new resident page. Your invitation arrives by email today. Please set up your payment there, and cancel any automatic payment you have in TurboTenant. Your rent, your due date and your lease stay exactly the same.

What does not come over

Four things no export carries, and what to do about each.

  • Signed leases

    Download each PDF and upload it to that resident. The signed lease stays the lease.

  • A resident's saved bank or card

    Each resident sets up how they pay once, in their new resident page.

  • Messages

    They stay in TurboTenant. Keep your login so you can look back.

  • Applications in progress

    Finish them where they started. New applicants apply through RentCaddie.

Common questions

Do my residents have to sign a new lease?

No. The lease they signed is still the lease. You upload the signed copy to each resident's record, and their rent, dates and deposit come over from the rent roll and the charges.

What happens to rent that was already paid in TurboTenant?

The Charges export says which bills were paid. They arrive marked paid, with nothing left owing on them, so a resident who is square in TurboTenant is square on day one.

Do security deposits come over?

Yes, when the Charges export includes them. That is why every filter is set to All, including All Time: a deposit paid two years ago is only in the file if the dates reach back that far.

Can I move one house and leave the rest?

Yes. Move one house, and bring in a fresh Charges export each month for the others. Bills RentCaddie already has are recognised and skipped, so the same charge is never added twice.

Is this page from TurboTenant?

No. RentCaddie is not connected to TurboTenant. The menu names here are TurboTenant's own, as they read on 08/23/2026. If a menu has moved since, look for the same report name.
